Terms and Conditions of Let – Glamping The Wight Way Safari Lodges
The contract for a short-term holiday rental is between Glamping The Wight Way Ltd (referred to as “us” or “we”) and the person making the booking and all members of the holiday party (referred to as “you”, “your”, or “guests”), under the following booking conditions.
UK law governs this contract. The responsible person named on the booking form (referred to as the “responsible person”) agrees to take full responsibility for ensuring that all Terms and Conditions are adhered to by all members of their party. The responsible person must personally stay at the accommodation throughout the holiday and be at least 18 years old at the time of booking. Names, addresses, emails, and phone numbers of all party members must be shared with the owners upon request.
Bookings & Payments
All lodges are identical inside. We aim to honour your chosen lodge but may reallocate you to another identical lodge if later bookings require multiple tents together or if any maintenance issues arise.
Mobility note: Some lodges are closer to the entrance than others. If mobility is a concern, please notify us at the time of booking. While we will do our best to accommodate requests, the site is not fully accessible, and some walking may be required.
To secure your booking, a non-refundable deposit of 50% of the cost of your stay is required, at which point a confirmation email will be sent. We do not accept provisional bookings. Please see our Cancellation & Alteration Policies below—if we are able to re-let your dates, we will refund the amount paid.
The balance is due 6 weeks before arrival. If the booking is made less than 6 weeks before arrival, the full price of the stay is required at the time of booking.
We reserve the right to cancel a booking where payment has not been received 6 weeks prior to arrival, in which case the deposit will be forfeited. No entry to the lodges will be allowed without full payment prior to arrival.
If the balance is not paid by the due date, Glamping The Wight Way reserves the right to re-let the lodge and retain the deposit.
Prices displayed on the website are indicative and not binding; we reserve the right to modify prices. At the time of booking, you will be informed of the applicable prices. We only accept bookings from persons over 18 years of age and reserve the right, at all times and without giving reasons, to refuse or cancel a booking.
Group Bookings
We are a family glamping site, and guests must keep noise to a minimum after 10.30pm and be respectful of other guests at all times.
Hen and stag party groups are not accepted. Single-sex or other group bookings will be considered on an individual basis—please email us with your request.
If you wish to book 2 lodges or all 4 lodges, please contact us by phone or email to discuss your requirements. We reserve the right to take a £500 returnable security deposit per lodge for such bookings, in addition to the holiday cost. This will be refunded within 48 working hours of departure, provided no breakages or damage have occurred. Guests are liable for the full cost of any damage exceeding the security deposit.
Glamping The Wight Way reserves the right to refuse group bookings if we believe the booking may negatively impact other guests on site.
Cancellation & Alteration Policies
Please notify us of cancellations as soon as possible by email.
If we are able to re-let your dates, we will refund the amount paid. If the replacement booking is for a lower value, the refund will be adjusted accordingly. A £50 administration fee will be deducted from any refund.
If we are unable to re-let your dates:
- Cancellation 6 weeks or more before your holiday → forfeit the deposit only
- Cancellation within 6 weeks of your holiday → forfeit the full amount
We recommend taking out holiday cancellation insurance, as you would for a holiday abroad.
If you wish to change any detail of your confirmed booking, we will do our best to accommodate your request. However, we cannot guarantee that changes can be made, and any difference in costs may be payable.
Circumstances Beyond Our Control (Force Majeure)
If we have to cancel your booking in advance due to circumstances beyond our control, such as fire, flood, exceptional weather, or destruction/damage to the property (force majeure), you will be refunded the full booking amount.
If we have to terminate your holiday early for these reasons while in residence, we will refund a proportion of the booking fee based on the unused time. This is the full extent of our liability; no additional compensation, expenses, or costs are payable. We recommend you take out appropriate holiday insurance.
Arrival & Departure
Arrival: Guests may arrive from 4:00pm on the day of check-in. We operate a self check-in system, and full instructions, including directions to the site, will be emailed during the week of arrival.
Guests will also receive a link to the Glamping The Wight Way App, which contains all essential information for your stay, including lodge operation details and instructional videos for items such as solar batteries and log-burning stoves.
Please plan to arrive during daylight where possible, as navigating from the entrance to the car park (approximately 300m away) and transporting luggage to your lodge is easier in daylight. A short drop-off layby is available for 10–15 minutes for unloading luggage.
Wheelbarrows are provided just inside the site entrance to help transport luggage to your accommodation. We kindly ask that these are returned after use, so they are available for other guests.
Departure: Guests are kindly requested to vacate their lodge by 10:00am on the day of departure, unless otherwise agreed in advance. Please leave the tent and surrounding area as you would like to find them, with all crockery, cutlery, kitchen utensils, and furniture returned to their original places, kindly ensure all bins are emptied, and leave the tent secure by locking up and returning the key to the correct place.
If lodges are left in an excessively dirty condition, we may need to apply an additional cleaning charge to cover extra housekeeping time.
Food Deliveries
Food deliveries to the site are not always straightforward due to our rural location, narrow lane access, limited drop-off space, lack of turning areas, and the fact that sat nav systems do not reliably locate us.
However, if you would like to arrange a delivery, please contact us in advance and we will first check whether your proposed delivery slot is feasible. If so, we will be happy to provide thorough instructions.
Site Rules & Guest Responsibilities
To ensure the safety, comfort, and enjoyment of all guests, the following rules apply to everyone staying at Glamping The Wight Way:
- Occupancy: Maximum 8 guests per lodge for insurance and comfort reasons. No additional visitors are allowed without prior agreement.
- Pets: Dogs and other pets are not permitted, to keep the grass clean and enjoyable for all guests.
- Drones, kites, or similar equipment: Cannot be used in the meadows due to overhead electricity cables.
- Noise & Behaviour: Keep noise to a minimum after 10.30pm and be respectful of other guests at all times. Nuisance or unreasonable behaviour may result in removal from the site.
- Respect: Guests must respect wildlife, neighbours, other holidaymakers, and the Country Code.
- Smoking: Not permitted inside lodges, on decks, or steps. Outside smoking is allowed only if cigarette butts are disposed of responsibly—either in the outside fire, sand bucket, or your own portable ashtray. Please do not leave cigarette butts on the grass.
- Fires & Cooking: Fire pits and BBQs must be used only in designated areas and never left unattended. No naked flames (candles, Chinese lanterns, fireworks, flares, etc.) are permitted near lodges. Only provided fire bowls/BBQs and wood burners may be used. Disposable BBQs, pizza ovens, or personal gas equipment are not permitted.
- Children: Must be supervised at all times. Surrounding fields are strictly out of bounds.
- Visitors: Guests are responsible for all members of their party. Visitors who are not part of the booking are not allowed without prior agreement.
- Ponies & Horses: Do not feed or interact with ponies, horses, or other livestock in neighbouring fields.
Liability & Assumption of Risk
Children must be supervised at all times. The site is a working farm with machinery, livestock, and natural hazards.
We are not liable for accidents, injuries, or loss of property to the greatest extent permitted by law. Guests must report any faulty or unsafe equipment to us immediately. We reserve the right to access lodges for inspection, maintenance, or emergencies.
Guests are responsible for damage caused wilfully, through misuse, or by failing to follow instructions.
Ground Conditions & Natural Environment
Our glampsite is set within a beautiful natural field environment, so ground conditions can vary and are not always perfectly level. Depending on the season and weather, the ground may include soft or muddy areas, dips, ruts, or small holes created by local wildlife. In dry weather, the ground can also become hard and uneven, with natural cracks, lumps, and changes in texture.
We take reasonable steps to regularly inspect and maintain the site to help ensure it remains safe and enjoyable for guests; however, as a natural outdoor environment, certain conditions are outside of our control. Guests are responsible for taking appropriate care while moving around the site, including wearing suitable footwear and supervising children at all times, to ensure a safe and enjoyable stay.
Validity Clause
If any provision is found to be illegal or void, it will be severed, and the remainder of the Booking Conditions will remain valid.

General
- We reserve the right of reasonable entry to lodges for inspection or maintenance. Emergency access may occur without notice.
- Website descriptions are accurate to the best of our knowledge but cannot form part of the contract. We reserve the right to alter or improve facilities and services without notice.
- The booking agreement confers the right to occupy the lodges only for the agreed period.
- The lodges must be used solely for self-catering accommodation.
